WeGuide Integration Engine: How does it work?
The WeGuide platform simplifies the process for healthcare teams, researchers, and clinicians to connect their tools and systems. By utilizing the Integration Engine, you can link external software, databases, or devices with WeGuide, ensuring your work runs smoothly. If you’ve ever faced the hassle of manually transferring data between systems or using different apps that don’t communicate with each other, the Integration Engine is designed to resolve these issues effectively.
What is the Integration Engine?
The Integration Engine serves as a bridge between WeGuide and various systems you might use. This includes data storage solutions like REDCap, communication platforms such as Twilio or Messagebird, and data processors like Mulesoft. The Integration Engine facilitates connections between WeGuide and these services, allowing information to flow automatically without manual intervention. Currently, we have over 100 external systems connected.
How does it work?
To establish these connections, WeGuide employs connectors (for instance, a REST API), which are links that enable different systems to communicate. Each connector is customized for a specific system, such as a database or an email platform. Once the connection is established, a set of business rules defines how the WeGuide system interacts with the external system.
If you wish to import patients from an external database into WeGuide, the connector manages the information flow between WeGuide and that database. The business rules determine which data should be synced, how it should be synced, and when.
Pre-Built Integrations: Templates
To enhance our integration processes' efficiency and seamlessness, we offer Templates - a collection of pre-built connectors and business rules tailored for common tasks that researchers and clinicians frequently perform. These templates simplify the setup of integrations.
A few examples of the Templates available in WeGuide include:
- REDCap Migration: Automatically migrate all data from your REDCap project to WeGuide.
- REDCap Records Sync: Sync records between REDCap and WeGuide to ensure consistent data across both platforms.
- REDCap Data Sync: Sync data collected within WeGuide back to your REDCap system while maintaining alignment with your original project structure.
The advantage of using these templates is that they come pre-configured with connectors and business rules. All you need to do is fill in a few dynamic fields such as:
- The REDCap API key, which allows WeGuide access to your REDCap project.
- The specific form or question IDs in REDCap that you wish to sync.
By simply providing this information, the rest of the integration will be ready to go. This significantly reduces setup time and enables you to start without requiring technical expertise.
WeGuide offers a selection of pre-built integrations for common tools and services used in medical research so you won’t have to start from scratch. These ready-made connections are available for popular platforms like REDCap, Mulesoft, and Messagebird. With just a few clicks, you can link these systems to WeGuide without any extra setup.
Custom integrations
While our templates address many common tasks, WeGuide also allows easy setup of custom connectors for unique systems or workflows you may have. The Integration Engine can easily connect with external systems as long as standard connection methods (e.g., webhook, REST API) are utilized.
If you're using specialized tools, creating a new integration is much simpler with our Integration Engine than starting from scratch. The engine takes care of most configurations so that you don’t have to worry about technical complexities.

The WeGuide Integration Engine prioritizes security and safety by ensuring your data remains protected at all times. It operates within a secure medical-grade infrastructure, where all servers are located in your country or region of origin. This guarantees that your data never leaves the country—providing peace of mind for healthcare providers and researchers who require local data residency. The infrastructure is fully self-managed; only authorized staff members have access to it—ensuring tight control over who interacts with sensitive systems.
Automated testing and monitoring
The moment new business rules are created or updated within the Integration Engine they are automatically tested during each automation run. This ensures that integrations function as intended while preventing disruptions in workflows. If an automation run fails for any reason our system promptly notifies our support team; failed runs will be retried later—minimizing downtime while ensuring issues are resolved quickly with minimal impact on operations.
